Off the spreadsheets, one step at a time.
Nobody switches an operation overnight. We set Trailflow up around how you already fly, bring your data across, and run alongside your current process until your team is ready.
Discovery
We go through your operation with you: fleet, bases, the kinds of flying you do, your operations manual and how approvals work today.
Configure
Trailflow is set up for your operator before anyone uses it.
- Aircraft types, ACMI rates and fuel burn
- Bases, airstrips, opening hours and time zones
- Duty and flight-time limits
- Roles, permissions and who approves what
Import your data
Fleet, crew and airstrips come across from spreadsheet templates. Type ratings are checked against your fleet's aircraft types as crew are imported, so mismatches are caught before anyone is rostered.
Train the teams
Short sessions for each desk (Commercial, Operations, crew planning, Safety, Maintenance), plus a walk-through of the flight pack with your crews on their own devices.
Run in parallel
Real missions go through Trailflow alongside your current process. Differences are found while both systems are running, not after.
Go live
When your team is confident, Trailflow becomes the record. The old spreadsheets are kept for reference, and nothing is lost.
Frequently asked.
Does Trailflow work with my aviation authority's rules?
The published flight-time and duty limits are built in, and operators can set stricter 28-day limits. During onboarding we compare your approved scheme with what Trailflow checks, and tell you plainly about any gap before your first flight.
Which aircraft types are supported?
Any type can be scheduled, costed and released. The crew load sheets currently cover the DHC-8 and the Cessna 208. Other types are added from the aircraft's own weight and balance data during onboarding.
Can we start with only some modules?
Yes. Many operators start with Commercial and Operations, then add Crew, Safety, Maintenance and Purchasing. Everything shares one database, so nothing has to be re-entered when you add a module.
What happens when crew are out of mobile coverage?
The crew flight pack keeps working offline. Load sheets, navlogs and checklists are saved on the device and sync automatically once a connection comes back.
Is it a replacement for our maintenance tracking system?
Trailflow keeps the technical log, defect register and maintenance programme alongside operations. Operators who already run a dedicated airworthiness or CAMO system can keep it. Trailflow holds the operational record.
How is it delivered?
Trailflow is a web application, so there is nothing to install for office staff. Crew use the flight pack in their phone or tablet browser, and can add it to the home screen. Hosting and data residency are agreed during onboarding.
